Constitution of UCDAA-SL

1. Name of the Association

“University College Dublin Alumni Association Sri Lanka (UCDAA-SL)” is the name used here and after to call this association.

2. Area of the Association

This association is a locally functioning body of UCDAA-SL and functioning at Colombo but open to all alumni through out Sri Lanka.

3. Vision, Mission, Goals and Objective(s) of the Association

Vision

“Towards a dignified professional body”.

Mission

Achieve members’ welfare and social needs as well as the citizens by Implementing their creative ideas.

Goal

Creating a successful membership who serve maximum number of people giving utmost benefits

Objectives

To promote friendly relations among the society members.
To improve appreciative abilities of the membership with the objective of improving their social qualities and positive attitudes.
To continue cordial relations with the member through out his/her life for not being isolated.

4. Committee Members and Responsibilities

UCDAA-SL committee must consist with Adviser, President, Secretary, Treasurer and five working members.   President has the highest authority over the others where as working members have equal powers. Responsibilities of the positions are mentioned below:

Adviser                  : Giving consultations for the betterment of this association.
President                : Steering the meetings and governing all the activities of the body.
Secretary                : Calling of meetings and keeping minutes of the meeting.
Treasurer                : Fund raising and budgeting for the entire association. 
Working committee : Planning and implementing of committee decisions.     

5. Selection of Committee Members

  • All UCDAA-SL committee members must be elected by the members at the General election held annually.
  • More importantly out of five working members at least 3 must be appointed from the most recently pass out batch.  
  • The General Election must be called every year on any date of the month of December by the current UCDAA-SL president and generally working year will commence with effect from January next year.
  • Minimum of 25 alumni members must be participated for the AGM to appoint the members.

6. Activation of Membership

  • A new applicant can be a UCD alumni member holding a degree by UCD.
  • Under graduates are also eligible to apply for student membership and can be converted to active membership after the graduation.  
  • Anyone who wishes to become a member of this association has to pay a membership fee along with a duly filled application form.
  • Student members when converting to active membership need to pay the additional amount not the total amount.
  • Membership fees are as follows
    • Life Time Member   Rs.1500/= 
    • Annual Member       Rs1000/=
    • Student Member      Rs.500/=

7. Deactivation of Membership

Active membership is subjected to be cancelled if a member does not continue their annual membership fee or being marked as an offender by the committee.

8. Approval or the Amendments to the Constitution

This constitution will come into effect from year 2010.01.01 and onwards until the next Constitutional amendment. Amendments or approvals will be made with majority of the alumni members of the UCDAA-SL at a general meeting held officially.

9. Governing Period of Committee

UCDAA-SL committee has a maximum of one year governing period. This governing period will commence from January and till the end of December every year.

10. Working Procedure of the Committee

  •  Working committee should present committee decisions to all alumni members in a proper way.
  •  Working committee should present their final reports regarding the committee activities to the alumni members.    
  •  Alumni members have an authority to question any issue regarding UCDAA-SL committee actions and committee is fully responsible for addressing those issues in a non conflict way.
  •  If current UCDAA-SL committee is unable to proceed their duties and their plans successfully due to conflicts, president should appoint new members to continue remaining activities of the year until next election of new members.
  •  Every document submitted by the committee should bear signatures of the President and the secretary.
